Associates and Partners Annual Conference

The conference brief

This annual conference saw the 3rd year that KDM supplied the venue sourcing, AV solutions and Event Management for the client. Key areas that they would need support with comprised of:

  • Venue sourcing, booking and management
  • Event production and AV design
  • Live event delivery and AV support
  • Selection and delivery of live polling and Q&A systems
  • Interactive breakout sessions and business games
  • Live event staffing and event production delivery
  • Risk assessments, method statements, floorplans, insurance and supplier compliance document checks

The final package

We provided pre-event support to source, site visit and negotiate the best venue locations for the client, Suitable conference spaces, links to airports and public transport were high on the list, so multiple options were considered before the client settled on Manchester Central as the venue with the most attractive overall package. We contracted and managed the venue throughout the booking, adding accommodation at nearby hotels for those staying overnight.

Once the venue was in place, this allowed our Audio-Visual set design to take shape according to the audience room layout, client’s live camera needs, multiple presenter styles/content, live Q&A  and polling. For the main plenary sessions, a full-width stage with multiple screens allowed all guests to have good eye line sight of a large screen – central to all this was a circular screen for live camera action of the presenters. Logos, presentations and video were available to display on every screen and allowed the audience to feel close to the action on stage. Easily accessible polling and Q&A on delegates mobile phones was added and managed with Slido software.

For breakout elements in the itinerary, two further areas had smaller screens with projectors and PA systems. Set up to enable the delivery of gamified business messaging these creative, energetic smaller breakouts areas were the perfect accompaniment to the more formal main conference set.

Along with transforming the client business messages into engaging game formats, the Venue, Technical and Live support was the critical backbone of the success for the conference.
