BRIEF: An important UK wide training roadshow, the client needed to arrange suitable venues, smooth delegate communications and support on site ensuring the success of the events.
SOLUTION: Delivered by the client’s Regional Directors across 3 weeks in July, the dates and locations for the ½ day training courses were chosen to co-ordinate with their diaries and travel preferences. 6 venues were sourced in Glasgow, Manchester, Solihull, Swindon, Brighton and London covering the client’s regional business areas and potential delegates. All easily accessible by main road links and train, the focus was kept squarely on excellent meeting room spaces for these non-residential meetings.
Branded to match the client’s extranet, a bespoke event website detailed each available date, time and venue. Invitations with links to the site were emailed to all invitees, who were Care Home Managers, allowing them to select and then register for their preferred location, date and time. This great tool allowed the managers maximum flexibility to access all the details about the training courses and then book their preferred option to fit with their busy schedule. Many had questions about logistics, parking and access which were sent directly to KDM via the site and quickly resolved.
Having organised all the guest numbers and meeting spaces with the respective venues, KDM hosts welcomed the delegates at registration desks onsite at each event. Delegate badges, itineraries and refreshments were all available for delegates to quickly access as soon as they arrived. Directors delivering the training appreciated the assistance provided by a dedicated event professional onsite to help with their venue requirements and IT.
Of course, the client was also keen to review feedback on the delegates experience so guests completed these on the day using good old fashioned pen and paper sheets. Adjustments to the training format were tweaked accordingly and following the final event, the client was delighted to receive all the collated results for the entire training programme.
