How To Make Virtual Team Meetings Fun

Team meetings are a staple in any successful business. But carrying out engaging and fun team meetings can be challenging, especially when you’re doing them remotely. For a start, there’s no opportunity to bribe everyone into participation by bringing cakes and sweets! Having said that, there are things you can do to make virtual team meetings more engaging, and here at KDM we’re full of creative ideas to inspire you. Read on to find out more.

Make Team Meetings Social

Remote working can be very isolating, especially if your team members don’t regularly take calls and attend meetings. For this reason, if you have regular virtual team meetings it’s worth building in some social time within each one to help people loosen up and touch base with one another.

While it may be tempting to jump headfirst into the nitty-gritty of the meeting so you can all crack on with your day, schedule a bit of extra time for everyone to have a chat and catch up. This can be as structured or as loose as you want. For example, you might set aside ten minutes to do a fun team building activity. Alternatively, you could just ask everyone to join a little earlier and facilitate a chat about non-business related things instead.

Encourage Equal Participation

Like any group of people, it’s natural to have a mix of outgoing and introverted individuals. This dynamic is fine, as everyone brings their own strengths to the table. That being said, in virtual team meetings, more outgoing individuals can dominate the conversation which can leave quieter members left out. If you are facilitating a team meeting it’s your job to encourage equal participation and call upon even the quieter members of your team to share their thoughts and insights.

That’s not to say that you should put anyone on the spot or embarrass them. However, finding a good balance in who says what – and making sure you don’t talk too much yourself! – will help to make team meetings more engaging and productive for the whole team rather than just a select few.

Organise A Team Building Activity

Virtual team building activities are a fun way to break up a team meeting and get your participants engaged. These can be used at the beginning, in the middle, or at the end of your team meeting and can be as simple or as complex as you like.

With many of us now working from home, virtual events are evolving to meet the needs of teams operating remotely. You might decide to kick off your team meeting with a virtual icebreaker, such as Two Truths And A Lie or Never Have I Ever. Alternatively, you may decide to organise a more structured virtual event such as a quiz, virtual escape room, bake-off or craft workshop to support team bonding and reward your hard-working virtual team.

Deliver Good News

All too often team meetings are called only if there’s a crisis or problem to be addressed. Doing this and only this can leave your team members dreading team meetings, particularly if they’re working remotely and these types of situations are the only times you come together to talk! To shake things up a little, use team meetings as an opportunity to deliver good news. Has your team finished a particularly difficult project? Then throw a virtual party to celebrate! Just received good feedback from a client? Call your team and deliver the good news face to face and show them how much you appreciate their dedication and hard work.

It’s important to remember that praise is a particularly powerful way of motivating a team. In fact, it’s much more effective than only delivering bad news. So make a conscious effort to present good feedback face to face and regularly award achievements.
