Let’s talk event objectives

When it comes to corporate event planning the logical place to start is by asking yourself WHY. Why are you or the company holding this event? Is your goal to acquire new sales leads or maintain current client relationships? Do you want to reward the sales team for a record-breaking year? Are you celebrating a company milestone or looking to improve internal relationships? Defining your event goals and objectives will shape much of what is to follow in the event planning process.

WHO 

Define your events target audience

How well you know your audience can make or break your event. Job Role, Nationality, Age Range, and Gender are all important questions to ask in order to define and optimise each element of the event. These factors will influence many of the choices you make. The aim is to design an event that will not only meet your objectives but also attract and retain the interest of your guests.

WHAT 

Make your corporate event, one to remember

Are you rewarding employees with a fun experiential event?  Do you need to gather the team to learn new strategies and techniques to boost company productivity? Whatever the reason, you will need to have activities that will engage your audience and are aligned with the event goals. There is a large variety of options to consider. Peripheral entertainment, immersive décor, guest speakers or introducing team building activities are all crowd-pleasers.

Keeping your guests engaged with quality activities is imperative. This will have a direct impact on the outcome of the event and whether or not you meet your event objectives. Keep in mind your audience when choosing your activities, for example pairing a creative marketing group with a tabletop, strategy team build may not be the right choice.

WHEN 

Save the date 

When choosing the date for your upcoming corporate event make sure that you consider meetings and events at your workplace. Certain times of the year will be more popular than others. Christmas is obviously a very popular time for events, but festive events are so often left until the last minute. Planning ahead is essential when availability is at a premium.

Are you considering an open invite event? If so, it is imperative that once you have a proposed date, that you check not only your calendar but the industry calendar and events in the surrounding area. Significant events can affect your attendance as well as the logistics of an event.

WHERE 

Location, Location, Location 

Location, decor and ambience will set the tone for your corporate event and plays an important role in the overall experience. However, as well as ticking off the aesthetics, you need to consider other logistical elements before settling on your final venue. The venue needs to be easily accessible and convenient for delegates, event management and suppliers alike. Consideration needs to be made for local traffic. Does transportation need to be provided?  What parking options are available?

You need to factor in the number of people attending and whether the venue can comfortably accommodate guests in your desired layout. The activities you have planned for the event will also impact on the space required. A room which can hold 250 guests for an informal cocktail event may not be suitable for a team building activity for the same numbers.

BUDGET

Money Talks

Arguably the most important question to ask yourself is what budget do you have to with work with? This will ultimately define the What, When and Where of your event. When preparing the budget, you will need to incorporate estimates for all of the key elements such as venue, A/V equipment, catering and entertainment. Consideration should also be given for venue décor, seating, additional event staff and fees. Detailing these estimates will help create a realistic cost overview. Sit down with your accountant or financial team to determine what is reasonable for this event.

Relighting the Company Fire – Evening Entertainment & Venue Finding for a Company Party

September 2017

A leading Plant Hire Company, stuck in an annual groundhog day type corporate dinner, enlisted our help to refresh the company-wide event and make it an occasion that their 300+ employees would be excited to be a part of.

Where to start! The event had been held at the same venue for a number of years and the format was unchanged so the KDM Event Management team got to work straight away on venue finding, getting our ideas and recommendations across on that same day.

How We Did It

St John’s Hotel in Solihull was the chosen event venue, providing the Midlands based company with 150 bedrooms and space for their rejuvenated company party.

Our next task was to consider ways to change from a staid corporate dinner to a Company celebration dinner thanking employees for their hard work – with a particular emphasis on entertainment & fun, in order to leave a lasting impression & strengthen morale amongst employees.

After considering a range of possible themes, a Wild West Themed evening was selected to create a real party atmosphere – with the focus then turning onto the requirement to ensure a memorable evening. KDM dressed all tables & provided bespoke cactus centrepieces, and themed the room with a range of props such as Ranch signs, bale stacks, gallows, gravestones, silhouette panels, themed backdrops etc – along with a bespoke Wild West themed saloon bar & entranceway.

From a wide range of entertainment options, KDM sourced a band along with line caller to provide a barn dance, as well as various themed shooting ranges, Rodeo Bull, bespoke Photo Studio & spoof paparazzi amongst others. A memorable evening was had by all, with excellent client feedback also reporting that next year’s event will have to be larger due to increased demand to attend from employees.

High Energy Injection – Team Building & Conference Event Management

August 2017

The Finance division of a global construction machinery giant initially approached KDM with a view to putting together a team building activity event, which would be a key element of its annual company conference.

The conference would be exclusively for the Finance division staff, with a lot of the content structured around the company’s varied product range. The organisers were hoping to squeeze a hefty agenda into a very tight timeframe, and after the day’s business sessions the participants would attend a reception followed by an awards evening. For the Midlands – based company, the Mere Golf Resort and Spa hotel offered the ideal event location.

Having discovered that KDM are in fact a full-service Events Company providing not only team building activities & entertainment, but also event management & conference production, our client expanded our brief somewhat in order lighten their own event planning burden.

While our event manager worked closely with the client during the planning phase, we picked up new tasks to assist with event production including full event management & support for the day’s programme to ensure the smooth running of the events. We devised a bespoke 30-minute Family Fortunes – style ice-breaker focussed team building session in the afternoon, involving questions based on the company’s products – teams answered 19 specially-prepared questions on screen, using table buzzers and added sound effects contributed to the competitive atmosphere.

For the conference as a whole KDM provided full AV support, including set and stage, audio, video and lighting.

Any fatigue felt by the 82 delegates at the end of their day of business sessions was soon dispelled by our evening entertainment in the shape of nine-piece soul and latin band, which injected high energy into a very lively evening drinks reception.

For the awards dinner, the venue was transformed with a vibrant turquoise and orange theme, continuing the buzz of the preceding upbeat reception. As well as colour-wash lighting around the room, we provided specially designed table centres that continued the flamboyant theme.

In addition to assisting with conference event management, KDM provided AV support for the awards dinner, as well as music to accompany the presentations for each of the winning categories.

Speaking after the event our client said: “Conference went very well, everything was brilliant, band provided were amazing – table dressing and room looked great.”


Mr Bond … I’ve been expecting you – Comprehensive Event Management with a Creative Team Building Twist

After KDM had delivered a successful corporate team building activity event in 2015 for the UK’s largest full-service dental dealer, our client contacted us again – initially requesting a team engagement activity. As it turned out, our assignment was to evolve into a much more comprehensive event management package, and one with a distinctly Secret Service theme!

Our original brief was for an indoor-based, competitive team building event, by providing team building activities incorporating teamwork, creativity, and most of all, fun to appeal to the company’s 60-strong sales team during its annual conference. Cue ‘The Chocolatier’s Apprentice’ an engaging, entertaining and creative team building activity that had teams using a range of skills from creative thinking to budgeting, sales and marketing…all involving chocolate!

Learning that there was no AV provision in place for the company’s conference presentations, we proposed our full in-house AV package for the day and evening. This meant that presentations were made on stage during the morning’s business meeting and then teams had the opportunity to pitch ideas for the afternoon’s Chocolatier’s Apprentice team build to their unsuspecting competitors. We also took care of the conversion of the stage, set and lighting to create the perfect atmosphere for the evening’s Company Awards ceremony and themed dinner party.

In honour of the recently-released Bond film, Spectre, the awards dinner was transformed into a ‘shaken not stirred’ cocktail of sumptuous black and silver table dressing and elegant glass table centrepieces. Giant event props were used to dress the room and create a Bond theme, and an elegant Hollywood style red carpet lined the dining room entrance. Retro games provided the informal entertainment for the evening.

Finally, our in-house professional event photographer captured the highlights of the day’s activities and evening award celebrations. As an events company who pride ourselves on great value & quality by employing our own full-time event management & production team, we were delighted to offer our in-house professional event photographer to capture the highlights of the day’s team building activities & evening award celebrations.

Bravura Party Performance at Stamford Bridge – Star Studded Conference Event Management

Asked to produce an action-packed motivational staff party at a landmark London venue, KDM’s corporate event squad brought Hollywood to Chelsea FC for a star-studded experience.

About our client
Our client is part of a leading UK merchant banking group listed on the FTSE 250 index and one of the City’s most enterprising and respected banks. A pioneering provider of premium finance with a 35-year pedigree, the company helps over a million people across the UK and Ireland spread the cost of their insurance policy.

The brief
With a strong commitment to customer service and an industry-leading staff training programme, the company sees employee engagement as critical to its business success. KDM had been producing annual employee events, ranging from corporate team building activities & games through to full conference event management, for this client for the last three years, but its new Chief Executive was keen to kick-off 2015 with a fresh event format that would motivate and reward all 330 staff members for the year ahead.

We were tasked firstly with sourcing a venue exuding real wow-factor that would be sited within a 20-minute radius of our client’s Wimbledon office, and secondly with producing an action-packed evening event combining dinner, dancing and an awards ceremony.

KDM’s response
From a shortlist of six possible venues, we proposed Stamford Bridge – the iconic home of Chelsea FC and ideally located with excellent transport links to neighbouring Wimbledon. Most importantly, the venue’s Great Hall provides a magnificent open space for large-scale company events. Rather than being a dedicated function suite, this versatile area gave us the perfect blank canvas on which to stamp the personality and style that would create an unforgettable corporate event.

‘A Night at the Movies’ was the chosen theme to tie in with their internal communications programme, and with the help of creative lighting, star cloth and giant props, the guests were transported to Hollywood for a night of glitz and glamour. Throughout dinner, a series of themed team building games kept them on the edge of their seats. Contestants won prizes using specially-designed scratch-cards, and each movie-themed table competed to win a celebrity face mashup contest. In addition to a pre-arranged celebrity look-alike contest, guests took selfies, which could be immediately uploaded onto the main screen, offering just one of the evening’s many prize opportunities. Following the company’s award ceremony, an eight-piece band and DJ ensured there was no let-up in adrenalin-fuelled activity. Our Event Management team were delighted with the results and enjoyed the evening almost as much as our client’s guests.

Getting The Most From Corporate Event Spend – Even If You Just Want To Have Fun!

The first question we ask every potential client is: what do you want to achieve from your event? This isn’t because we’re questioning your reasons for holding a corporate event, it’s because we want to make sure that what we produce for you;

– is the best possible value
– is designed to meet your goals
– achieves the best possible results

Our internal goals for every event include punctuality, consistency, meeting budget & overall success and we assume you expect those things from us. So when we ask the question, we’re really asking, before you chose to invest in a corporate event, be it staff entertainment, team building, a company party, client entertaining or a 3 day conference, what business goal led you to that decision?

We can often translate a knee jerk response into a SMART objective, and we’re more than happy to sit and have that chat to make sure we’re providing the most relevant products & services to help our clients meet those objectives.

For instance, a nationwide firm of solicitors holding a Christmas Party for the entire company will tell us that their sole objective is fun! And while fun is not something we’re in short supply of, it is something that’s difficult to accurately measure in terms of an outcome. Fun is usually the response from a company that wants to achieve one of the following:

– increase in or maintenance of productivity and/or sales
– decrease in or maintenance of staff turnover
– decrease in or maintenance of sickness absence

If the fun goal is stemming from an intention to thank an amazing workforce, maintenance is or a slight increase/decrease is a likely goal, if it’s an attempt to increase staff morale, perhaps an increase in sales or decrease in turnover is the end objective.

Once we’ve established an objective we can make it Strategic Measurable Achievable Realistic Time-bound – SMART, and then we can really get stuck in to working towards achieving it, bringing together all of the tools at our disposal specifically designed to produce a variety of outcomes, from educating a sales force on the technical specifications of a new product to establishing team camaraderie in a brand new team or providing an open forum for feedback on company policies and processes.

It does take a little time to establish SMART event objectives in line with company goals but the resulting impact on how well your event is planned and executed is well worth the thought and effort and we’re more than happy to help guide our clients through that tat process.

GBG Family Fun Day

KDM helped put together a fantastic family fun day at a client’s head office.
GBG is a global specialist in identity data intelligence.   From employee screening to helping fight fraud, the company’s technology connects instantly to hundreds of databases across the globe. Headquartered in Chester, GBG has 18 offices worldwide and provides data intelligence solutions to many of the world’s biggest organisations.

The brief
We were tasked with putting together a company fun day for approximately 150 employees, to take place at GBG’s Chester head office.  Our clients had organised this event themselves on earlier occasions but acted on a recommendation from a neighbouring company impressed by KDM’s services for their own event.  We were given a strict budget to provide a wide range of family entertainment and asked to ensure that the youngest guests were protected from the busy road bordering the site.

KDM’s response
After carefully considering a menu of options with the client, we proposed a selection of fun activities tailored to the budget and available space.  Bright orange barrier fencing was sourced to separate the busy road from the grassy area where the activities would take place.  It also provided an attractive border, enhancing the village green-style feel of the environment.

On the day, guests were entertained by a huge range of games and inflatable activities. The youngest participants sampled face painting and enjoyed the children’s entertainer’s balloon modelling, before venturing on to the Ball Pond, Hook-a-Duck, Beat the Buzzer and Tin Can Alley.  A bouncy castle, giant slide and inflatable basketball helped burn up a lot of youthful energy, while the grown-ups were entertained by Crazy Golf and a Surf Simulator.  A fantastic variety of food and drink were provided directly by the client.

Point S Celebrates the Fourth of July – Case Study

KDM transformed a Grade II conference centre in the heart of the Warwickshire countryside into the setting for a Fourth of July corporate party, ensuring the perfect balance between business networking and having fun.

About our client: Point S is well on its way to becoming one of the automotive sector’s go-to brands for tyres – favoured by consumers and fleet operators alike.  Over its forty-year history, the company has become established as one of Europe’s leading suppliers of tyres, wheels and car service with an ever-increasing global footprint.  In just five years, over 200 independently-owned centres have joined its UK network, benefitting from the brand’s values and commitment to customer service.

The Brief: With a network of independent service centres that spans the country, opportunities for relationship-building are taken seriously and Point S places great value on the annual summer party organised for the company’s staff and partners.

Raising the star-spangled banner

The party date was set for July 4th, making the theme of Independence Day an easy choice, and the chosen venue was dedicated conference centre Ashorne Hill in Warwickshire.  But when it came to making the Stars and Stripes event really come to life, the venue’s manager suggested that Point S should consult a professional event organiser. Enter KDM.

Delighting the guests

We overlayed the Fourth of July theming through of all the venue’s event areas – Bar, Restaurant and Foyer – with customised table dressings, painted backdrops and giant props such as Stars and Stripes flags.  KDM provided indoor and outdoor themed games and entertainers, including a caricaturist who delighted the guests with his impromptu sketches.

To help the 130 guests recognise staff, both from Point S HQ and the event’s sponsor, Apollo, KDM’s graphics department designed bespoke ‘Wanted’ posters showing photos of key individuals. These were displayed around the venue.  To maintain the American theming throughout the event, we sourced contemporary country music and created a playlist.  With the partying in full flow,  a country band and disco provided live entertainment until 1.00am.

App, App and Away!

Making for a more interactive and user friendly personalised experience, the first outing of our brand new KDM event app for game shows was a great success in March.

10 teams worked hard to outwit one another in their branded company Mega Quiz held at Ettington Chase, Stratford. Using the pre-installed app on hand-held tablets, the teams were able to interact with the on screen visuals, video and questions to send in their team answers. Guests racked their collective brains to summon up the answers to a list of crazy questions such as:

  • True or False? Duelling is legal in Japan as long as both parties are registered organ donors.
  • Sport: In Greyhound racing what colour vest do dogs running from trap two always wear?
  • Rogues Gallery: Which 2 celebrities are mashed together in this picture? (see below)

Working on a secure & fast Wi-Fi network (installed by us!) the app worked smoothly allowing the guests to submit their answers and clock up their team scores! By the end of the night though, as usual only one team was celebrating and enjoying the winner’s prize of champagne!

With further developments in the pipeline we are upgrading all of our evening and team events throughout 2014 to enable use of the apps in conjunction with hand-held tablets. Get in touch to find out more about how these new apps will work on your events!
